A payment screenshot is not the same as a settled bank credit. Wholesale businesses need a simple audit trail joining the order, invoice, payment reference and bank entry.
Build a four-way match
- Start with a unique order number and the final payable amount, including taxes, delivery and agreed adjustments.
- Link the tax invoice or commercial document to that order. Record the supplier and buyer names consistently.
- Match the payment gateway, UPI or bank reference to the actual bank statement or provider settlement report.
- Record refunds, chargebacks, COD remittances and supplier payouts as separate events, then investigate differences.
A practical example
An order for ₹11,800 may show “paid” at checkout, while the provider settles a net amount after fees. The ledger should explain the difference rather than marking a second payment missing.
