Wholesale Payment Reconciliation: Match Every Order, Invoice and Bank Entry

A payment screenshot is not the same as a settled bank credit. Wholesale businesses need a simple audit trail joining the order, invoice, payment reference and bank entry.

Build a four-way match

  1. Start with a unique order number and the final payable amount, including taxes, delivery and agreed adjustments.
  2. Link the tax invoice or commercial document to that order. Record the supplier and buyer names consistently.
  3. Match the payment gateway, UPI or bank reference to the actual bank statement or provider settlement report.
  4. Record refunds, chargebacks, COD remittances and supplier payouts as separate events, then investigate differences.

A practical example

An order for ₹11,800 may show “paid” at checkout, while the provider settles a net amount after fees. The ledger should explain the difference rather than marking a second payment missing.

Keep bank and payment credentials private. Use maker-checker review for adjustments and confirm tax treatment with your accountant.
