A buying request works best when a retailer describes the need clearly enough for suppliers to price and confirm supply. “Need cosmetics at a good rate” leaves too much unanswered. Product names, sizes, quantities and delivery timing help suppliers decide whether they can make a comparable offer.
Describe each product separately
For every item, add a clear product name, category, brand or acceptable equivalent, variant, pack size and key specification. Add a photo or reference when available, but explain which features are essential. If substitution is acceptable, state the acceptable range before suppliers bid.
Separate quantity from pack requirements
Enter the required quantity and unit for every line: pieces, boxes, sets or kilograms. State whether the quantity is flexible and whether different products can be combined. Suppliers may have their own MOQ or pack size. Asking for 50 pieces does not mean a supplier who sells only packs of 100 can fulfil the request as written; make flexibility explicit.
Compare the complete offer
Compare the quoted unit price, tax treatment, stock confirmation, dispatch timeline, delivery charges, packaging and return or damage terms. A lower quote is not automatically the best quote if it excludes freight or offers a different specification. Ask suppliers to clarify any difference before accepting.
