A request for quotation (RFQ) works best when every supplier is bidding on the same requirement. An incomplete brief often produces prices that cannot be compared fairly.
Make every bid comparable
- Define the product, grade, pack size, target quantity, delivery location and deadline.
- Ask for a complete quote: unit price, applicable tax, packing, freight, lead time, payment terms and validity period.
- Separate mandatory requirements from negotiable preferences. Reject bids that do not meet the minimum specification before ranking price.
- Record the award decision and changes to quantity or terms. Confirm the final purchase order before paying.
A practical example
A ₹48 quote with freight excluded may cost more than a ₹51 delivered quote. A bid with a ten-day lead time may also fail a three-day launch. Compare the same total cost and realistic delivery promise.
